When you make a donation through our website, we collect:
Name, email address, and phone number — provided by you on the donation form, used to generate and send your donation receipt, to recover delayed receipts, and to contact you if a payment issue requires follow-up.
Donation amount and date — recorded for receipt generation and our financial records.
We do not collect or store credit card numbers, bank account details, or other payment credentials. All payment processing is handled directly by Westpac (via their Verifone platform) on their secure payment page. Card details are entered on Westpac's servers and never pass through ours.
We use the information we collect to:
Generate and email your donation receipt (PDF).
Recover delayed receipts and notify our internal operators when a confirmed payment still needs manual attention.
Maintain financial records as required by the Australian Charities and Not-for-profits Commission (ACNC) and the Australian Taxation Office (ATO).
Respond to your enquiries if you contact us.
We do not use your information for marketing, advertising, or any purpose unrelated to your donation or enquiry.
Our website is a static site and does not set cookies or use tracking technologies. If you are redirected to Westpac's payment page during a donation, Westpac may set cookies in accordance with their own privacy policy.
We use the following third-party services:
Westpac OnlinePay (Verifone) — processes card payments and receives checkout customer details needed for the Hosted Payment Page / 3DS flow. Their privacy policy is available at westpac.com.au.
Upstash Redis — temporarily stores server-side donation state so we can match Westpac payment notifications to the correct donor and receipt.
Microsoft Office 365 — sends donation receipt emails via SMTP.
Vercel — hosts our website and API. Their privacy policy is available at vercel.com/legal/privacy-policy.
When you submit the donation form, we share your name and email address with Westpac / Verifone as part of creating the checkout session and satisfying their Hosted Payment Page / 3DS customer detail requirements. We also store donor details temporarily in our server-side systems, including Upstash Redis, so we can reconcile Westpac payment notifications, recover delayed receipts, and send the correct receipt. Operational notification emails about confirmed payments or unresolved receipt recovery may be sent internally to Om Shanthi Theertham staff or volunteers using our configured operator email inbox. Card details are still entered directly on Westpac's payment page and never pass through our servers. We do not sell, trade, or otherwise share your personal information for marketing or advertising purposes.
Donation records (name, email, phone, amount, date, receipt number, and recovery state) are retained for a minimum of 7 years as required by Australian tax and charity regulations. We do not retain data beyond what is legally required.

All data is transmitted over HTTPS (SSL/TLS encryption). Payment credentials are handled entirely by Westpac under PCI DSS compliance. Our API credentials and SMTP credentials are stored as encrypted environment variables and are never included in our source code.
